Speaker Participation
All presentations are required a week before the meeting. Reminders and deadlines will be sent to you by email by your Event Manager and Program Director.
We will ask your permission to share your presentation with attendees, which will be made available as a PDF at the end of the meeting.
If you are planning to present sensitive data, you are welcome to share an amended version with our attendees. It would be appreciated if this was provided 3 days prior to the event at the latest.
All approved presentations are saved on a secure and password protected website, downloadable.
You can find the most up to date Event Guide on the event website which will outline all speaking times, alternatively please contact your Event Manager or Program Director for more information. Please note that all times and dates are subject to changes, so please be aware on any updated that may be communicated from your Program Director.
Your registration includes full access to the conference (Day 1 & 2), and according to your ticket, access to the additional Workshop Day. The registration also includes lunches, refreshments, and documentation. It does not however include travel or accommodation.
As a speaker you will be eligible for a 10% discount on all additional delegate passes. Please contact your Event Manager or Program Director for more information.
Please contact your Program Director or Event Manager to inform them directly of your change in circumstance. They will be able to discuss your options with you.
Your registration will be converted to a virtual event pass.
Agenda & Event Format
All attendees in the room will have 3-4 hours of networking provisioned as a part of the conference program each day. Ranging from refreshment breaks, to speed networking, to organized breakout and roundtable sessions. All refreshment breaks will be held in the exhibition area, providing regular exposure throughout the day to your booth. For specific information about networking at this event, please refer to the Full Event Guide.
Breakouts are discussion sessions grouped by shared interests e.g. a theme, topic area or question. These sessions will have a dedicated moderator who will set the context and start the discussion, after which you will be able to discuss the theme, topic area, or questions with your peers in the same room. This is your opportunity to get specific advice on your current challenges and share lessons learned in a more intimate setting.
The post-event presentation slides are subject to individuals and their organizations for approval. In our experience, it is not uncommon for speakers to share commercially valuable or sensitive data with the attendees but not want the deck to be hosted post conference. Therefore, it is probable that not all of the speaker sessions will be available post conference.

On completion of a short survey, you will automatically receive an email with instructions and your unique login information.

All post-event materials that we have been given permission to share will be available for 3 months from close of event.

Yes, you may register on behalf of someone else. When you book online, we'll need you to provide the name, job title, company and contact details of the person you wish to register so we can make sure they receive their details.
Physical conference passes can be transferred to a colleague at any time before the start of the event.
If you let us know, we can swap your pass with a colleague or client of your choosing. Alternatively, if you notify us up to 14 days prior to the date of the event, you will be entitled to receive a credit for a future event of your choice (up to the value of sums paid by you in respect of the event).

Yes, we do - we encourage teams to attend the meeting in order to make more connections and multiply the value that you can take back to your organization. Our team discounts start at 10% for a group of 2. For more information, please visit the pricing page.
Conference Venue, Travel & Accommodation
All attendees are responsible for making their own travel and accommodation arrangements. We recommend that you secure flexible booking options and rates when making these arrangements, in case of a change in circumstances in the coming months.
We do coordinate with the hotel to try and secure accommodation options and rates for our attendees and partners. As soon as we receive any accommodation information, your Event Manager will be in touch with instructions of how to make your reservation. For more information please reach out to your Event Manager directly or email customerservice@hansowade.com.
Please coordinate directly with your chosen hotel to understand the specific cancellation terms of your reservation.
Any reservations made for travel, accommodation or other expenses associated with the event is done so, at your own risk. Therefore, we recommend that you secure flexible booking options and rates where possible.

Onsite Safety & Wellbeing
The safety and welfare of all our attendees remains paramount. We will adhere to government, local and hotel-specific guidance, and regulations to ensure safety and hygiene measures are in place.
You will receive full guidance on specific provisions being put in place from your Event Manager 2-3 weeks prior to the event taking place. In the meantime, download our full event guide to see the type of provisions you can expect.
Please notify your Event Manager immediately if you display symptoms of Covid-19 within 14 days of the event starting. Anyone displaying Covid-19 symptoms will not be permitted to attend the event in person but will be able to transfer your pass to a colleague instead.
Please notify your Event Manager immediately if you have come into contact with another individual with COVID-19 within 14 days of the event starting or if you have been told to isolate by the authorities. You will not be permitted to attend the event physically but your Event Manager will be able to discuss your options with you.
Please notify one of the Hanson Wade onsite team immediately if you start to feel unwell or need assistance. They will be able to give you further support and direction.
Refunds & Cancellations

Partnership Agreement
All details can be found in your partnerships contract. If you're unable to locate this, please contact your Partnerships Director.
Please ensure that all communication copies in your dedicated Partnerships Director, who will always act as your main point of contact. However, in addition to this you may also receive communication from your Event Manager for logistical related information and your Program Director for information around the speaking agenda.
Delegate lists are provided by your Partnership Director, please contact them directly if you require an updated copy.
Unless contracted otherwise, standard exhibition floorspace for booths are 10ft wide x 10ft deep (or 3m x 3m). Hanson Wade will provide you with: Two chairs, One draped table, And one access to power (500W). Should you require furniture, different/more electricity, Audio Visual equipment or floorplan - please contact your Partnership Director.
Typically, partners will bring roll-up banners or a backdrop along with some marketing collateral and giveaways to provide to attendees. Please also bring business cards and a branded tablecloth.
All shipping information is available in the Sponsorship & Exhibition Manual sent to your team. Please check with your Event Manager or Partnership Director if you do not have this information.
If you're speaking on the conference agenda, please refer to your contract for time allocated. We recommend presenting a case study and leaving 5 minutes at the end for Q&A. For all presentations we recommend leaving out the general company history / geographic information and jump straight to the content!
